Privacy Policy

Regilon provides property-tax data analysis and decision-support tools for commercial real estate portfolios. This Privacy Policy explains how Regilon collects, uses, discloses, retains, and protects information when you use our website, application, screening tools, monitoring tools, document-processing workflows, evidence-packet features, dashboards, communications, and related services. Regilon is intended for business users and commercial real estate use cases. Regilon does not provide legal, tax, certified-appraisal, accounting, or professional representation services.

Information we collect

We collect information you provide directly, information generated through your use of Regilon, information from public records and third-party sources, and information from service providers.

Information you provide

This may include:

  • Contact information, such as name, business email address, phone number, company, title, and role;
  • Account information, such as login credentials, workspace name, users, settings, notification preferences, and billing status;
  • Property and portfolio information, such as addresses, parcel identifiers, account numbers, iFile numbers, counties, property types, assessed values, ownership details, portfolio files, and asset notes;
  • Uploaded documents, such as tax bills, notices of appraised value, assessment notices, rent rolls, income statements, operating statements, ARB orders, assessment appeal documents, iSettle agreements, refund documents, photographs, correspondence, and other evidence files;
  • Communications, such as demo requests, support messages, feedback, form submissions, and emails;
  • Billing information, such as subscription status, invoices, receipts, order history, payment metadata, tax information, and customer identifiers.

Payment card information is processed by our payment processor. Regilon does not directly store full payment card numbers.

Information collected automatically

This may include:

  • Usage information, such as pages viewed, scans run, uploads, packet requests, monitoring activity, exports, clicks, workflow steps, and support interactions;
  • Device and technical information, such as browser type, IP address, approximate location derived from IP address, operating system, referring pages, timestamps, log data, and error data;
  • Cookies and similar technologies used for authentication, security, analytics, preferences, and product functionality.

Information from public records and third-party sources

We may collect or process property, parcel, ownership, assessment, tax, comparable-property, jurisdiction, deadline, geographic, and related information from public records, government sources, appraisal districts, counties, third-party data providers, customer uploads, and other lawful sources.

Some public-record property information may not be personal information under certain privacy laws, but uploaded documents and business-contact information may contain personal, financial, tenant, owner, advisor, or agent information.

Uploaded property documents

When you upload tax bills, notices, rent rolls, ARB orders, appeal documents, refund records, or other evidence files, we store and process those documents to provide Regilon.

We may use uploaded documents to:

  • Match properties to public records;
  • Extract candidate fields;
  • Identify tax years, account numbers, notice dates, assessed values, tax amounts, ownership details, deadlines, and outcome information;
  • Generate evidence materials you request;
  • Improve savings precision;
  • Support monitoring history;
  • Maintain audit, billing, verification, and outcome records;
  • Provide support and troubleshoot errors.

Automated extraction may be incomplete or incorrect. Candidate extraction results may require human review before they are used for reviewer-approved evidence, verified outcome savings, or success-fee workflows.

How we use information

We use information to:

  • Provide, operate, secure, and improve Regilon;
  • Create and manage accounts and workspaces;
  • Match properties to public records;
  • Run screening scans and estimate overassessment risk;
  • Generate opportunity scores, confidence labels, comparable-property analysis, and savings estimates;
  • Track deadlines and monitoring alerts;
  • Generate evidence packets, reports, exports, and checklists you request;
  • Review uploaded documents and improve savings precision;
  • Maintain savings ledgers, verification history, and outcome records;
  • Provide customer support, demos, onboarding, and account communications;
  • Process billing, invoices, subscriptions, packet purchases, and success-fee workflows;
  • Send service, security, billing, operational, and product communications;
  • Detect, investigate, and prevent fraud, abuse, security incidents, and unauthorized access;
  • Debug errors, maintain reliability, and analyze product performance;
  • Comply with legal, accounting, tax, security, audit, and operational obligations;
  • Enforce agreements and protect the rights, safety, security, and integrity of Regilon, users, and others.

Screening estimates are not outcome-confirmed savings. Verified outcome savings, where shown, depend on document review, source confirmation, applicable agreement terms, and the verification standard stated in the relevant order form or written agreement.

AI, automation, and human review

Regilon may use automated systems, machine learning, document extraction, and AI-assisted workflows to process property records, uploaded documents, comparable properties, deadlines, reports, and evidence materials.

Automated outputs may be incomplete or incorrect. We may use human reviewers, contractors, or professional partners to review documents, improve extraction quality, troubleshoot workflows, and support service delivery under confidentiality or access-control obligations.

Regilon does not use automated outputs as legal, tax, certified-appraisal, accounting, or professional advice.

How we disclose information

We do not sell personal information.

We may disclose information to:

  • Service providers that help us operate Regilon, such as hosting providers, database providers, authentication providers, payment processors, email providers, analytics providers, document-processing providers, AI providers, error-monitoring providers, customer-support tools, and security vendors;
  • Contractors, reviewers, or professional partners who help provide the service under confidentiality, access-control, or contractual obligations;
  • Payment processors for billing, subscriptions, invoices, receipts, fraud prevention, and payment status;
  • Advisors, agents, partners, or third parties at your direction, such as when you request an export, filing handoff, professional review, or evidence-packet delivery;
  • Government, legal, regulatory, or law-enforcement parties when required by law, subpoena, court order, legal process, or government request;
  • Parties involved in enforcing our agreements or protecting rights, safety, security, and integrity;
  • Parties involved in a business transaction, such as a merger, acquisition, financing, reorganization, due diligence process, or sale of assets.

We may also disclose aggregated, anonymized, or de-identified information that does not reasonably identify you or your organization.

Service providers

Regilon may use service providers such as cloud hosting, database, authentication, payment, email, analytics, document-processing, customer-support, security, and AI infrastructure vendors.

These providers may process information on our behalf to provide services to Regilon. We do not authorize service providers to use customer information for their own unrelated purposes except as permitted by law and applicable agreements.

Cookies and analytics

We may use cookies, pixels, local storage, and similar technologies for authentication, security, preferences, analytics, product functionality, debugging, and performance measurement.

You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.

Security

We use administrative, technical, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. These safeguards may include access controls, encryption where appropriate, authentication, logging, monitoring, vendor controls, and internal policies.

No online service is completely secure. We cannot guarantee absolute security.

Retention

We retain information for as long as reasonably necessary to provide Regilon, maintain account records, support monitoring history, process billing, verify savings, preserve audit logs, comply with legal and accounting obligations, resolve disputes, enforce agreements, prevent fraud or abuse, improve reliability, and protect our rights.

Uploaded documents, billing records, audit logs, security logs, verification records, and legal or dispute-related records may be retained longer when required or reasonably necessary.

You may request deletion of your account or certain information by contacting us. Some information may be retained when required or permitted for legal, accounting, security, fraud-prevention, dispute-resolution, backup, audit, or legitimate operational purposes.

Your choices and rights

You may contact us to request access, correction, export, or deletion of your information. Depending on your location, you may have additional privacy rights.

You may update certain account information and notification preferences in your Regilon settings. You may unsubscribe from marketing emails, but we may still send service, security, billing, legal, and account-related messages.

California privacy notice

If you are a California resident, you may have rights under California privacy law, subject to applicable thresholds, definitions, and exceptions. These rights may include the right to know what personal information is collected, used, disclosed, sold, or shared; the right to request deletion; the right to request correction; the right to opt out of sale or sharing where applicable; the right to limit certain uses of sensitive personal information where applicable; and the right not to be discriminated against for exercising privacy rights.

Regilon does not sell personal information. Regilon also does not share personal information for cross-context behavioral advertising unless we state otherwise and provide any required opt-out mechanism.

We may need to verify your request before responding. We may deny or limit requests where permitted by law, including when information is needed for legal, security, accounting, fraud-prevention, dispute-resolution, operational, or service-delivery purposes.

Where required, notice is provided at or before the point personal information is collected, including through links on account, upload, demo, scan, and checkout pages.

Business users and company information

Regilon is designed for business users. If you submit information on behalf of a company, property owner, client, fund, asset manager, or other organization, you represent that you have authority to provide that information.

If your organization administers your account, your organization may be able to access, manage, export, or delete information associated with your workspace.

Children

Regilon is not directed to children under 13, and we do not knowingly collect personal information from children.

International users

Regilon is operated from the United States. If you access Regilon from outside the United States, your information may be processed in the United States and other jurisdictions where our service providers operate.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The updated version will be posted with a new effective date. Continued use of Regilon after an update means the updated policy applies.
